Answering service, virtual receptionist, AI phone system: what's the difference?

US businesses use several words for the same need: getting the phone answered when nobody can pick up. An answering service takes messages on your behalf. A virtual receptionist greets callers, screens them and routes the important ones. A phone system routes calls between people and voicemail. A 24/7 answering service simply means the nights, weekends and holidays are covered too.

An AI answering service covers all of it: it picks up on the first ring on your existing number, introduces itself in your business name, understands the request in plain English, asks your qualifying questions, transfers genuine emergencies to the right person and sends you a written call summary. You keep your number and your carrier — call forwarding is all it takes.

What changes between industries is not the technology, it's the script: what to ask, what counts as an emergency, what should end up as a booked appointment. That's why every industry below has its own page, with call scenarios, qualifying questions and a real example of a handled call.

What actually changes from one industry to the next

How you define an emergency

A burst pipe, a lockout or a dental emergency is not handled like a quote request. Each industry page defines what triggers an immediate transfer and what can wait for a callback.

The information to capture

Address and access details for a service call, vehicle and plate for an auto shop, reason for visit and insurance for a clinic, matter reference for a law firm: a call summary is only useful if it contains what you would have asked yourself.

The share of after-hours calls

Emergency trades take most of their calls at night and on weekends; accounting firms see daytime spikes instead. That changes the setup: full 24/7 coverage, daytime overflow, or both.

What happens after the call

Booking straight into the calendar, a callback within two hours, a transfer to a partner, a booking link by text: the outcome is configured per intent, not globally.

AI, traditional answering service or in-house receptionist: the numbers

Three models, one metric worth comparing: cost per call actually handled, after-hours calls included.

In-house receptionist

$3,000 to $4,500 per month with payroll taxes and benefits, for about 40 hours a week — roughly a quarter of the week. Evenings, weekends, holidays and sick days go unanswered.

Traditional answering service

Billed per call ($1.50–$3.00) or per minute, usually on top of a base fee, with after-hours surcharges. Message quality depends on whichever agent picks up and how well they know your business.

AI answering service

A flat $95 to $269 per month depending on the plan, plus $0.20/min beyond included minutes. 24/7 coverage with no surcharge, unlimited simultaneous calls, a written summary and a transcript on every call.

On 120 calls a month with half of them after hours, cost per handled call lands around $58 for an in-house hire (with 50% of calls missed), $3.50–$4.50 for a traditional service, and about $2.05 for an AI answering service.

Frequently asked questions about AI phone systems

What is an AI phone system, concretely?

It is a phone assistant that answers on your existing number. It introduces itself in your business name, understands the request in natural language, asks your qualification questions, books into your calendar, transfers emergencies to the right person and sends you a structured summary of every call. Unlike an IVR, there is no keypad menu and no rigid decision tree.

Do I have to change my number or my carrier?

No. The AI phone system plugs in through standard call forwarding from your current line, whatever your carrier or VoIP provider. You keep your number, your business cards and your listings. You choose when forwarding kicks in: immediately, after a few rings, outside business hours only, or only when the line is busy.

How long does setup take?

Base configuration takes about 15 minutes through the guided onboarding: business, hours, voice, qualification questions and notification recipients. Call forwarding is active right after. Fine-tuning (industry intents, FAQ, escalation rules, calendar integrations) is then done on your own from the dashboard, with no technical work.

Will callers realize they are talking to an AI?

The voice is neural and the conversation natural, but we recommend transparency: the assistant can state that it is an automated assistant in the greeting. You write that sentence. In practice what matters to callers is getting an immediate answer and a callback instead of reaching voicemail.

What happens when the AI does not know the answer?

It does not guess. You define the topics it handles and the ones it declines. Faced with an out-of-scope question, it says so plainly, collects the caller details and context, then creates a callback ticket or live-transfers the call according to your escalation rules.

Can it book appointments in my calendar?

Yes. Connect a Google or Microsoft calendar and the assistant offers only your genuinely free slots, confirms with the caller and writes the appointment directly, including the reason for the visit and the callback number. Cancellations and reschedules reopen the slot immediately.

How many simultaneous calls can it handle?

There is no queue: each call opens its own session. Ten calls arriving at once are all answered at once, on the first ring. That is the structural difference with a human answering service, whose capacity depends on how many operators are free.

How does the cost compare with an answering service?

Answering services typically bill per call or per minute, with surcharges in the evening and at weekends. An AI phone system runs on a flat monthly subscription plus per-minute usage, with no time-of-day surcharge and no volume commitment. Full details are on the pricing page.

Is my data and my callers' data protected?

Transcripts and summaries are hosted in the European Union, access is restricted to your account, and you set the retention period. Audio recording can be disabled. You can delete a single call or all of your data at any time.
